Overview

Our client is seeking an organized and proactive Executive Assistant to support the day-to-day operational needs of their five business owners. The ideal candidate will streamline activities within our organization, ensuring efficiency and order in our communications, travel arrangements, and event preparations. This role extends beyond traditional administrative responsibilities and will include some personal assistance tasks and the dynamic handling of professional schedules.

Responsibilities

  • Manage and arrange all aspects of travel for business partners, ensuring a seamless experience.
  • Filter emails diligently, maintain organized inboxes, and ensure efficient communication flows on email platforms like Gmail and Outlook.
  • Handle personal assistant duties such as running errands, making appointments, purchasing gifts, dinner reservations, and other tasks as needed to support our partners.
  • Take detailed notes during meetings and coordinate follow-ups accordingly.
  • Assist with the planning and execution of corporate events including setup, and coordination.

Qualifications

  • Previous experience as an Executive Assistant is preferred.
  • Proficiency in email management with platforms such as Gmail and Outlook.
  • Familiarity with Microsoft Teams for communication and collaboration.
  • Must possess a reliable vehicle and a valid driver's license.
  • Residency in the Louisville area is required, as the position involves in-office work during the training period.

Skills

  • Excellent organizational skills with an ability to think proactively and prioritize work tasks based on deadlines, time dependencies, etc.
  • Strong communication skills, both written and verbal, to effectively correspond with various stakeholders.
  • Adept at managing multiple schedules and tasks efficiently.
  • Ability to handle sensitive information with confidentiality and discretion.
  • A knack for maintaining composure and professionalism in a fast-paced environment.

Location / Flexibility

  • The initial period will be conducted in-office in the Louisville area.
  • Once training is complete, there is an option to transition to a hybrid work model if preferred.
  • Travel is required 2-3 times per year.
